Student committees in Halls
Want to know how your student committee members work in Halls? Keep reading to know more! 👀
Starting from this academic year (2023/24), you will see a rebrand and restructure of the events and wellbeing programme for each hall. There will be a committee per hall and each committee will have four different roles. Committee size is dependant on hall, so not necessarily will all halls get 4. This is your Student Experience Team!
1. Event Lead
The Events Lead will be responsible for creating and delivering weekly events for the students living in their halls.
They will have support from the rest of the committee, but will be primarily responsible for the event planning and management of events internally.
Some of the duties and responsibilities include:
- Creating and delivering an events programme to enhance the student experience in halls;
- Supporting students with concerns or issues they may experience in halls;
- Being flexible in supporting external events to halls with the Student Experience Team;
- Be the first point of contact for students at events, with a welcoming/friendly energy;
- Being enthusiastic, passionate, and respectful to all students and staff members.
2. Marketing Lead
The Marketing Lead will be responsible for creating and delivering promotional and marketing campaigns around the halls for the weekly events that take place for the students.
They will have the support from the rest of the committee, but will be primarily responsible for the communication and promotion of an event including social media and photography.
Some the duties and responsibilities will include:
- Creating an accessible, fun and welcoming events schedule for all students living in your accommodation;
- Creating web content for hallslife.arts.ac.uk and Eventbrite to market internal hall events;
- Forming strong relationships with students in your accommodation so you are able to spotlight and shout about all the amazing things students are doing on our UAL platforms;
- Writing and publishing content according to our brand style and tone of voice;
- Producing social media content that is relevant and up to date with current trends at UAL and the wider world.
3. Finance Lead
The Finance Lead will be responsible for overseeing all financial transactions, pitching for budgets and managing fundraising efforts that the committee decides.
They will have support from the rest of the committee, but it is your responsibility to manage finances and ensure events are run within budget.
Some of their duties and responsibilities will include:
- Ensuring the committee invests in relevant events and projects that are beneficial both in the short and long term;
- To purchase and organise deliveries to your hall site for events;
- Handling receipts, expenses, invoices and purchase orders where necessary and liaising with the Student Experience Team for reconciliation;
- To lead on pitching and funding bids for budget throughout the year;
- To have vast experience and knowledge working with Microsoft Office and other programmes.
4. Committee Secretary
The Committee Secretary will be responsible for the day-to-day running of the committee. They will set up meetings, keep records, write agendas/reports, take minutes, chase the committee on tasks that need to be completed and liaise closely with the Student Experience Team on matters relating to the committee.
Some of the duties and responsibilities will include:
- Having knowledge and experience of working with committees and following procedures;
- Being methodical with a keen eye for detail;
- Preparing for meetings well in advance to lead the committee accordingly throughout;
- Issuing documents to people for reference;
- Building teams and maintaining great work ethic;
- Storing and recording of receipts, expenses, invoices and purchase orders where necessary;
- Writing monthly reports to present to the committee and Student Experience Team.
5. EDI Lead
The Equality Diversity and Inclusion (EDI) Lead will support our halls committees during peak event delivery months in the year.
They be responsible for the development of student related EDI activity across our halls. They will set up meetings with each committee to give advice and identify key areas to focus on throughout the year.
Some of the duties and responsibilities will include:
- Organising events and promoting EDI across the halls and wider university where necessary to help create a diverse and inclusive culture. Focusing on history months, awareness days and other EDI activity that is applicable;
- To ensure EDI is considered and understood across all of our halls of residence committee events plans;
- To ensure EDI articles on Halls Life and marketing materials are up-to date and in line with the universities policies;
- To be a clear communicator and keep everyone informed at all times of EDI activity happening in the university and wider;
- Help in the creation and delivery of training for committees alongside the SET team.
